Protocol for Examinations and Exam Review Sessions

The Office of Medical Education (OME) has established the following exam protocol for all students for exam administration for the 2025-2026 academic year. The guidelines outlined below are pursuant to The Warren Alpert Medical School’s Exam Policy and national examination protocols for NBME examinations, and apply to all students including those with accommodations.

Acceptable Items

  • Photo identification (e.g., Brown ID card), which are collected at the start of each exam and returned at the conclusion of each exam.
  • iPad or laptop (all examinations are administered electronically).
  • iPad or laptop charger (Examplify requires a charged device, and the exam will be interrupted if charge is lost).
  • Earplugs (optional) (Earplugs will be provided by the OME. Headphones are only allowed if the exam includes audio, and advance notice will be given).
  • Scratch paper (will be provided).
  • Water bottle and/or snacks (optional) in a small transparent container. 

Prohibited Items

  • Additional electronic devices (e.g., smart watches, phone). (The only electronic devices permitted are the iPad/laptop used to take the exam.) 
  • Bags and large containers, such as backpacks, handbags, wallets, tote bags, lunch boxes, coolers, etc.
  • Notes, books, study aids
  • Blankets and large coats
  • Opaque containers (e.g., for food)
  • Unauthorized resources, materials, or items 

Exam Day Procedures 

  1. Please download your exam the night before the exam.
  2. Arrive at the lecture hall 20 minutes before each exam to deal with any technical issues that may arise.
  3. At the start of the exam, the proctor will provide a code that unlocks the exam. DO NOT OPEN THE EXAM BEFORE AUTHORIZED TO DO SO. 
  4. Restroom breaks:
    • Students may take restroom breaks anytime during the exam but must follow protocol to hide the exam screen before leaving the room.
    • One student will be allowed out of the exam room at a time (consistent with NBME policy). 
    • Students may use the gender-specific restrooms on the first floor or the gender-neutral bathroom on the second floor.
    • The proctor will note the times of your restroom break.
    • Checking of notes, devices, etc. is not allowed during restroom breaks.Students are only allowed to go to the restroom during the exam and not elsewhere.
  5. All exams are timed so pay attention to your timing! A five-minute warning will pop up when the exam time is nearly finished, and it is technically impossible – and against policy – for the proctor to extend exam time. Make sure all questions are answered and the exam is ready for submission before the exam times out.
  6. Students who become ill during an exam and cannot continue shall immediately notify the proctor who will ask them to terminate the examination and seek medical attention.

Tardiness

Students MUST be in the exam room at least 10 minutes before the start of the examination. A student who arrives 10 minutes past the exam start time may not be permitted to sit for the exam. No additional time will be given, and the student will be asked to terminate the exam at the regularly-scheduled time. A professional form will be issued to the student. 

Signing Out Procedures

After completing all examination questions, students will be prompted to save and upload the exam. Students must sign out of the exam by showing the proctor the “green screen,” relinquishing any used scratch paper to the proctor, and collecting their photo ID. After such procedures have been followed, students are excused and may leave the exam.

Emergency Procedures

If an emergency situation occurs during an exam, proctors will notify students to follow procedures to “freeze” the exam and exam time, as follows:  
  • Turn OFF your computer (push on/off button) 
  • DO NOT just close screen 
  • Contact your proctor
  • DO NOT talk or use any electronic devices
  • DO NOT turn on computer until instructed to do so by the proctor.
After the emergency is over, a proctor will provide a passcode to resume the exam.  

Prohibited Behavior

The following behaviors are not permitted:
  • opening an exam without the guidance of the proctor;
  • accessing unauthorized resources during the exam;
  • viewing or copying others’ examination responses;
  • discussing the exam in any way during testing;
  • engaging in disruptive behavior during examination time (whether or not they have completed the exam);
  • obtaining and retaining exam content in any manner (e.g., photos, notes) before, during, or after an exam (includes exam reviews);
  • reconstructing the examination in whole or in part by memory;
  • transmitting, publishing, reproducing, and/or communicating exam material or information in any manner, including to students who have not yet sat for the exam;
  • failing to submit scrap paper or note boards to the proctor;
  • taking an exam for another student; AND
  • helping another student cheat on the examination. 

Non-compliance of these policy and protocol are a violation of the University Honor Code and subject to consequences, including, but not limited to, issuance of a professionalism form, referral to the Medical Committee on Academic Standing and Professionalism, and/or referral to main campus for disciplinary action.
