Remote Testing Policy and Procedures
Policy
Remote testing is defined as completing an assessment or examination outside of a monitored, proctored environment in Gregory Hall. Remote testing may be necessary in cases when the University is closed due to unforeseen circumstances such as calamity or in the event the student is permitted to test remotely, such as attendance at a professional conference.
Remote testing will occur by logistics as defined by the course coordinator and which are specified in the procedures below. The student is solely responsible for maintaining a testing device that complies with the School’s minimum specifications. Additionally, the student is responsible for ensuring internet connectivity. The School of Pharmacy is not responsible for the student’s device and internet connectivity.
Academic integrity is of utmost importance, and guidelines required of students help to ensure breaches in academic integrity do not occur in the remote environment. The guidelines also address how a student should respond in the event a technology issue is encountered when testing.
Testing with Examplify (MOST CLASSES)

24 Hours Prior to the Assessment:
o Students
must be using a device for testing that currently meets the minimum
specifications and is registered with the School of Pharmacy.
o Students
should verify that Examplify is updated to the latest version at least one
business day prior to the assessment day. Students should log into the Mock
Exam at least 24 hours prior to the assessment day to ensure Examplify is
working properly.
o Students
must download the exam(s) prior to entering the remote testing environment.
• It is
recommended for students to do this at least 12 hours before the start of an
exam.
o The
student must ensure the device’s date and time are accurate.
o The
student should run CCleaner (or equivalent for Mac computers) to clear cache
from all browsers.
o It is the
student’s responsibility to ensure his/her computer is operating with the
latest version of Examplify by connecting to the internet and opening the
program to prompt any available updates.
o If
prompted with an Update Window, the student should ACCEPT the update. Failing to accept an update will result in
not being able to enter an exam until the update is accepted.
• NOTE: Most
Examplify updates silently update in the background if the program is closed
and there is internet connection for the update to occur.
• Additionally,
mandatory updates are released and need to be performed manually. Students will receive email alerts with
instructions to complete prior to testing.
These mandatory updates are required to be completed by the specified
deadline to ensure Examplify testing features function properly.
o Students
should ensure Sophos Home Av is the only antivirus installed on their primary
testing device and that the Examplify Exclusion has been added to Sophos Home
AV:
C:\Program
Files (x86)\Examsoft\Examplify\Services
o If
there are issues with Examplify, students should email
o Crystal_Twaddell@pba.edu for
troubleshooting assistance.
o If
troubleshooting is needed outside of working hours, students should contact
ExamSoft Troubleshooting Hotline: 1-866-429-8889.
o After contacting
Crystal Twaddell and/or ExamSoft Troubleshooting and it is determined a loaner
is necessary, the student should contact the Crystal Twaddell for a loaner.
o Commencement of an exam will NOT be delayed due to a hardware/software,
antivirus, or update problem with the student’s device.
o Extra time for completion of an exam will NOT be given due
to a hardware/software, antivirus, or update problem with the student’s device.

Pre-Assessment Microsoft Teams Check-In
o Students
must arrive 20-30 minutes prior to the start of the assessment. Once the
student enters the Microsoft Teams Check-In, he/she must not leave the testing space until after completion of the assessment.
o Students
must complete the assessment on their device registered with the School of
Pharmacy.
o Students
must enter the Microsoft Teams Check-In on a secondary device such as a smartphone, iPad, or tablet. Laptop devices are not approved secondary
devices for Microsoft Teams usage. This device must be placed outside of the testing
workspace in a position which allows the course coordinator/proctor to see the
student’s face, keyboard, hands, and lap and must only be used for the Microsoft Teams Check-In and assessment monitoring. This device must not be used for
communication of any kind with any outside parties. This device must be put on
“Do Not Disturb” mode and kept unmuted at all times during the check-in and
testing processes.
o Students
must use their actual background and not a virtual background when using Microsoft Teams.
The student’s first and last name must also be clearly displayed.
o Students
will NOT be allowed to take an assessment if they are more than 20 minutes late
or after the first student has finished, submitted his/her assessment
materials, and left the remote testing environment.
o
Prior to entering the Microsoft Teams Check-In room, close
ALL programs, applications, browsers, and notes.
o
Windows
laptops: close ALL Microsoft programs (Word, Outlook, PowerPoint, etc.)
Mac laptops: close ALL high impact applications
(One Drive, Dropbox, Google Drive, Skype, Spotify).
No
additional time will be given to students who arrive to the Microsoft Teams Check-In late.
o Students
must follow remote testing procedures provided by the coordinator. These
include showing the proctor or coordinator the following:
• PBA-issued
photo ID
Students must show the faculty moderators their
PBA ID and/or complete the photo validation process during the Microsoft Teams Check-In
and prior to the start of the assessment. Failure to do so may result in
submission of a PHC violation.
• White
board (if applicable)
• Calculator
(if applicable)
• Other
pre-approved resources (if applicable)
• 360°
pan of testing space, including but not limited to desk, computer (including
under the computer), surrounding walls, chair space, lap of student, floor, and
anywhere the proctor/coordinator requests.
• The secondary
device for Microsoft Teams must be placed at an angle in which the proctor/coordinator can
see the student’s face, keyboard, hands, and lap at all times.
• Any
student who fails to comply with the request to inspect the testing space or
adjust camera placement will immediately be removed from the testing space, and
a PHC violation will be filed.
• Testing Environment
o Students
must ensure they have privacy throughout the entire assessment. The testing
workspace must be free from noise and interruptions of any kind. If there is a
risk of a potential disruption, the student must alert the coordinator in
advance of the exam.
o Students
must ensure they have at least 2mbps internet speed. Internet connectivity is
the student’s responsibility, not
the University’s.
o Cell
phones, iPads, and tablets are intended for Microsoft Teams usage only. Any messaging activity, including texting,
e-mailing, chatting, messaging, or talking, will be considered a testing
violation.
o The
student’s laptop and secondary device (i.e., smartphone, iPad, or tablet)
should be fully charged prior to the assessment. Preferably, students should keep these
devices plugged in during the entire assessment.
o Students
must not talk with anyone during the assessment or receive any outside
assistance.
o Students
must remain focused on their testing device throughout the exam. Students should, however, check their secondary
device periodically to see if the proctor/coordinator is attempting to
communicate with them.
o The
use of any electronic devices outside of the testing device and secondary
device is strictly prohibited and will be considered a PHC violation.
o Students
are not allowed to wear watches, hoodies, hats, or sunglasses while testing.
o Headsets,
earbuds, and air pods are not
allowed when testing. However, ear plugs (with no technology capability) are
allowed.
o Consumption
of food and/or drinks is not allowed
when testing. However, a clear bottle with the label removed containing water
is permitted.
o Students
may not use the bathroom during the assessment.
o Scrap
paper, white board, and calculator usage is at the discretion of the course coordinator.
o At any
point during the exam, the proctor/coordinator may ask the student to reinspect
the testing space and/or move the camera angle. Any student who fails to comply
with this request, will immediately be removed from the testing space, and a
PHC violation will be filed.
- Mid-Exam Technical Difficulties
o
Students experiencing technical difficulties
such as Examplify issues must notify the proctor/coordinator through the chat
function of Microsoft Teams. If there are internet connectivity issues, the student must immediately
email the course coordinator.
o
Students with internet connectivity issues are
recommended to use a hotspot for connectivity.
o
Students who experience any technical issues
during the assessment should perform a hard reboot by holding down the computer’s
power button until all lights are off, wait 10 seconds and then restart the
computer to be taken back into the assessment.
o
If prompted for a resume code, the student must
contact the proctor/coordinator.
o
No additional time will be given to students due
to technical issues experienced with their primary device during the assessment.
o Students
should keep their computer connected to the internet until the completed upload
is verified and a green screen is received. Upon completion of the assessment
and the generation of the “green screen”, the student must show the “green
screen” to the proctor/coordinator. Failure to complete this step renders the
student’s assessment incomplete.
o Students
must show a clean white board to the proctor/coordinator.
o Students
must receive either written or verbal clearance from the proctor/coordinator
before exiting the exam environment.
Testing
with Canvas
· Prior to the Assessment:
o Students
must be using a device for testing that currently meets the minimum specifications
and is registered with the School of Pharmacy.
o If
there are any Canvas issues, students should email Crystal_Twaddell@pba.edu for
troubleshooting assistance.
o After
contacting Crystal Twaddell and it is determined a loaner is necessary, the
student should contact Crystal Twaddell for a loaner.
· Pre-Exam Microsoft Teams Check-In
o Students
